Job Requirements
Summary: Coordinates communications, recordkeeping, and administrative activities within a patient care unit, including access to and transport of medications between storage and delivery areas. As the first point of contact on the unit, this role is the face of the team - a friendly, approachable presence for patients, visitors, and staff.
Schedule: 3:00 PM - 11:30 PM | Every other weekend and holidays
About the Role You'll be embedded in a close-knit unit (10-16 beds, 4-8 staff per shift) where teamwork is essential. Staff will likely support both units, so flexibility and a willingness to learn are key.
Responsibilities
  • Serve as the first point of contact on the unit, providing warm, customer-oriented service to patients, visitors, and care providers.
  • Maintain the integrity, completeness, and confidentiality of patient records, including compilation at discharge/transfer per Medical Records standards.
  • Use automated and EMR systems to manage clinical information, orders, requisitions, and reports; support A/D/T notifications, order monitoring, label management, and downtime coverage.
  • Coordinate patient appointments, transportation, and routing of requests to appropriate staff.
  • Manage movement of supplies, equipment, specimens, and materials to/from the unit; order, receive, and distribute mail, supplies, and online forms.
  • Provide general clerical support including typing, filing, photocopying, and census reconciliation.
  • Maintain order and appearance of public areas; notify and follow up with support services on housekeeping or facilities issues.
Education & Experience
  • High School Diploma or GED required.
  • Minimum six months of general office experience; patient care or customer service setting preferred.
  • Outgoing personality with strong interpersonal skills and a genuine desire to help others.
  • Willingness to learn and adapt across multiple units and teams.
Work Experience
Knowledge, Skills & Abilities
  • Strong clerical and computer skills, including filing, photocopying, and managing patient data in electronic systems.
  • Professional phone etiquette and effective written and verbal communication.
  • Ability to multitask, prioritize, and remain composed under pressure.
  • Strong interpersonal skills with the ability to work effectively with patients, families, and clinical staff.
