WHAT WE ARE LOOKING FOR: We're seeking an Assistant Service Manager with whatever it takes approach to join our team! In this full time role, you'll be responsible for ensuring the physical Asset of the community meet both the company standards and applicable laws. As an Assistant Service Manager, you'll be diagnosing problems and making repairs. You will provide hands-on and trouble-shooting in areas such as HVAC, electrical, plumbing, carpentry, dry walling, exterior structure, tiling, Masonry and appliance. WHAT WE EXPECT FROM YOU:
Accountability for performance of the service team
Assist with reviewing and monitoring the service team's required Yardi hours, Kronos time sheets, supplemental logs, punch-out sheets, service requests and on-call logs
Provide complete support to the property manager and Southern Management Companies in upholding community and corporation standards, policies and procedures
Keep up-to-date and accurate logs of vacancy schedule, preventive maintenance, inventory and material usage
Mentor, guide and assist with Service team's on-going training.
Self-seek and participate in on-going training/education.
Schedule, conduct and document regular meetings including safety meetings with service team members
Ensure that safety measures are enforced
Assist with team member discussions, warning notices, and performance appraisals with counseling and coaching goals, using the appropriate forms on documentation
Brief new service team members on procedures, goals, and the community
Instruct team members on maintenance etiquette
Check all service team members tools regularly for ownership and safe working condition, ensure uniform appearance is in accordance with SMC dress code policy, and provide documentation to the property manager
Schedule and manage appropriate contracts, i.e.: painting, cleaning company, trash pick-up, etc.
Schedule daily activities efficiently, monitoring for quality or quantity.
Assist in the preparation of long range planning and make budget recommendations
Ensure turnover process is completed in accordance with Southern Management policies, standards
Maintain shop, company equipment, ample supplies, inventory control, and ensure key security.
Read and interpret prints and specifications
Watch for unauthorized vehicles or suspicious persons on the property and report to proper authority
Perform hands-on maintenance as needed and to further team abilities and knowledge
Confirm that daily morning checks of the overall community appearance, to include a neat and clean appearance, cleaned and painted common areas, and clean and clear windows and balconies are conducted
Perform service technician responsibilities/tasks to include on-call coverage as necessary
Prepared to respond and act in emergency situation, following corporate/community emergency procedures
Perform other duties as assigned by Manager and/or Supervisor
Stay abreast of industry trends
Contribute to community/company engagement efforts
Proficient with MS office
JOB KNOWLEDGE & SKILLS:
Ability to effectively supervise and motivate a team of (5) or more team members
Good communication skills; interpersonal, verbal, written and required documentation
A thorough knowledge of each job description, as it pertains to self and service team members
A thorough knowledge of interviewing techniques as it pertains to Southern Management Companies
Ability to understand, demonstrate. and ensure team compliance of all necessary national and local building codes, safety codes, labor laws, to include but not limited to safe work practices, work place violence, Fair Housing, Sexual Harassment prevention, ADA, etc.
Thorough knowledge, understanding and compliance with Southern Management
Ability to maintain high productivity for effective cost control
Knowledge of contract requirements
Knowledgeable in boilers and chillers and/or individual HVAC System
Ability to review service related reports generated through Yardi
Ability to keep neat and accurate records of time and materials using tablet (Yardi); communicate in written form
Knowledge of mechanical math, and measurements
Thorough knowledge and understanding of preventive maintenance
Knowledge of the current occupational hazards, and an understanding of safety
Ability to lift 80 pounds to the shoulder and carry it
High school diploma or equivalent
Successfully completed all advanced maintenance classes and on-the-job training within a year of employment
Minimum of 3 years' experience in a in maintenance or related field
Minimum of M-II level hands on skills/training
